Privacy Policy
Royal Truck Repair Inc. (“Royal Truck Repair”, “we”, “us”) runs a heavy-duty truck and trailer repair shop in Breinigsville, Pennsylvania. This policy explains what personal information we collect, why we collect it, who we share it with, and what you can ask us to do about it.
We have written this plainly and specifically. Where we do something people may not expect — recording phone calls, asking for your exact location, using automated assistants that reply to messages — we say so directly rather than hiding it behind general language.

This policy covers our website (royaltruckrepairpa.com), our phone lines, our Instagram and Facebook messaging, and the internal systems we use to run the shop. All of the systems described here store data in the United States.
2. What we collect
Almost everything we hold about you is something you gave us so we could help you. We do not buy personal information about you from data brokers.
When you use a form on our website

When you contact us other ways

- Instagram or Facebook messages and comments: your username, your messages, and any photos, videos or voice notes you send — see section 5.
- Email: whatever you send us.
When we work on your truck
We record the work order: your name or company, contact details, vehicle information (make, model, year, VIN, plate, unit number), the parts fitted, and notes from the technician. This is the ordinary record of a repair and we keep it for warranty, safety and tax reasons.
Automatically, when you visit the website
Our host receives your IP address, browser type and the pages you request, as any web server does. Your browser also stores your language choice, your cart, and the chat ID described above. We do not run advertising trackers or analytics cookies on this site. No consent banner is needed because there is nothing to consent to.
Two exceptions worth naming: our pages load fonts from Google, and the map on our contact section is a Google map. Both mean Google receives your IP address when the page loads.
3. Your location
The roadside form can capture your exact position. If you tap “📍 Use my location”, your browser asks your permission and then gives us your GPS coordinates — accurate to roughly a metre. We use them to find you and to send a technician.
We convert those coordinates into a street address using OpenStreetMap, and we put a map link in the alert we send our on-call team. Your coordinates and the resulting address are stored with your request.
This never happens silently. If you don’t tap the button, or you decline your browser’s prompt, we only get the location you type. You can revoke location permission for this site in your browser settings at any time.
4. Recorded phone calls
We record calls to our shop lines. Pennsylvania law requires everyone on a call to be aware of recording, so you hear an announcement before you are connected. If you would rather not be recorded, please tell the person you are speaking with, or contact us by email or message instead.
We use recordings to make sure customers are quoted correctly and served well, to settle questions about what was agreed, and to train our team. To do this at scale:
- Recordings are turned into written transcripts by an automated speech-to-text service (OpenAI).
- Transcripts are summarised and reviewed by an AI system (Anthropic’s Claude) and by our management.
- Where a caller speaks a language other than English, the transcript may be translated.
Call recordings are automatically deleted after 120 days. Written summaries derived from them are kept longer, as business records.
Please don’t read card numbers aloud. Our staff are instructed never to take card numbers or security codes over a recorded line. If you are asked to, stop and ask for a secure payment link instead.
5. Messaging & automated assistants
When you message our Instagram or Facebook pages, an automated assistant may answer first. It tells you so at the start of the conversation. A human on our team can step in at any point, and does whenever the assistant is unsure or the question matters.
To answer you, your message — and the recent history of that conversation — is sent to Anthropic’s Claude. If you send a voice note, the audio is sent to OpenAI to be written out as text. If you send a photo or video, it is analysed so we can see the part or damage you are showing us; our system is instructed not to identify people’s faces and not to read back the contents of personal documents.
Your conversation is stored so we can pick up where we left off and so our team can review how customers are being helped. Note that Meta (Instagram and Facebook) is the channel itself, and the conversation also lives in your Meta inbox under Meta’s own privacy policy.
6. Text messages
We only send appointment-related texts to people who have actively asked for them by ticking the box on our booking form. That box is never ticked for you. Message and data rates may apply, message frequency varies, and you can stop them at any time by replying STOP or telling us.
For roadside emergencies we may text or call our own on-call staff with your number and location so they can reach you quickly.
7. Why we use it
- To answer you, quote you, and book your truck in.
- To find and reach you when you are broken down.
- To carry out the repair, order the right parts, and keep a service history.
- To invoice you and keep the tax and accounting records the law requires.
- To honour warranties and handle claims and disputes.
- To consider you for a job if you apply.
- To check the quality and honesty of our own service, including reviewing recorded calls.
- To keep our systems secure and prevent misuse.
8. Who we share it with
We do not sell your personal information, and we do not share it for advertising. We share it with companies that run parts of our operation on our behalf, and only so they can do that job:

We also share information when we have to: with our accountant or lawyers, with insurers, with a towing or mobile partner sent to help you, or where the law or a valid legal request requires it.
9. Automated processing and AI
We use AI in three specific places: replying to social messages, transcribing voice notes and calls, and summarising call transcripts so management can review service quality.
No automated system decides anything significant about you. Whether we take your job, what we charge, whether we honour a warranty — those are decisions made by people. If an automated assistant is handling your message and you want a human, just ask; that request is honoured.
10. How long we keep it
We are being straightforward here rather than quoting a schedule we do not yet follow:
- Call recordings: automatically deleted after 120 days.
- Repair, invoice and accounting records: kept for as long as tax, warranty and liability rules require — generally several years.
- Website enquiries, messages and job applications: we currently keep these without a fixed expiry date. We are working towards a defined schedule; until then, you can ask us to delete yours and we will (see below).
11. Your choices and rights
Whatever state or country you are in, you can ask us to:
- Tell you what we hold about you.
- Correct anything that is wrong.
- Delete your information, unless we are legally required to keep it — repair, invoice and tax records generally must be kept.
- Stop messaging you, including reminder texts (reply STOP) and marketing.
Email info@royaltruckrepairpa.com or call (610) 841-2521 and say what you want. We will confirm who you are before acting — usually by the phone number or email you originally used — and respond within 45 days.
Being honest about effort: our records live across several systems, so fulfilling a deletion request is a manual job for us. That does not make it optional. Ask, and we will do it.
We do not sell or share personal information for cross-context behavioural advertising, so there is no “Do Not Sell My Info” action to take. We will not treat you differently for exercising any of these rights.
12. How we protect it
Our shop systems require an invitation and a password — there is no public sign-up. Staff see only what their role needs: technicians, for example, are not shown supplier costs. Changes to stock and records are permanently logged with the name of the person who made them. Our accounting connection to QuickBooks only reads data.
No system is perfectly secure, and we will not pretend otherwise. If a breach affects your personal information, we will notify you as the law requires.
13. Children
Our services are for commercial vehicle owners, drivers and fleets. The website is not directed to children, and we do not knowingly collect information from anyone under 16. If you believe a child has given us information, contact us and we will delete it.
14. Changes
If we change this policy we will update the date at the top. If the change is significant — for example a new way we use your information — we will say so clearly on this page.
